Development Administrator

Maine Mathematics and Science Alliance (MMSA) — Augusta, ME (hybrid; in‑state travel)

Status: Full‑time, exempt, salaried (salary range $65,000–$95,000 DOE). 

Overview

Maine Mathematics and Science Alliance (MMSA) seeks a Development Administrator to expand and professionalize our fundraising capacity. This strategic role combines high‑level administrative responsibility and mission-oriented motivation in building, implementing, and maintaining MMSA’s major gifts, the annual fund, donor stewardship, and advancement systems and programs. The Development Administrator will work closely with the Executive Director and Operations Team and will be expected to lead projects, make programmatic decisions, and represent MMSA with donors and partners. 

Key Responsibilities

  • Support and coordinate development operations and strategy implementation for donor acquisition, retention, and stewardship, exercising independent judgment on donor engagement priorities and methods.
  • Manage and maintain the donor database (Little Green Light preferred), including designing and producing reports, pipelines, and dashboards to inform leadership and Board decisions.
  • Conduct prospect and donor research; synthesize findings and recommend cultivation strategies to the Executive Director and leadership.
  • Create, draft, and edit high‑level donor communications, grant and gift acknowledgment letters, stewardship materials, and board and leadership reports.
  • Plan and coordinate logistics for fundraising events, donor meetings, and leadership briefings.
  • Oversee gift processing, reconciliation, and reporting in coordination with finance staff; establish and maintain advancement controls, systems, templates, checklists, and workflows.
  • Develop and implement a donor stewardship plan to retain and grow major and annual donors; manage moves management activity and next‑step plans for donors.
  • Independently manage projects and timelines from initiation through completion, prioritizing competing tasks and making decisions of consequence to meet fundraising goals.
  • Serve as a primary point of contact for executive‑level staff and external stakeholders; represent MMSA at donor and partner meetings.

Required Qualifications

  • Bachelor’s degree or equivalent combination of education and relevant experience.
  • 5–8 years of progressive nonprofit advancement/development and administration experience.
  • Proven experience on advancement/development teams; demonstrated ability to exercise discretion and independent judgment on matters of significance.
  • Proficiency with donor CRM systems; Little Green Light experience preferred.
  • Strong relationship-building skills and an interest in supporting STEM education and educators, generally.
  • Strong financial reconciliation experience related to gifts and advancement reporting.
  • Experience with prospect research platforms and data‑driven donor pipeline management.
  • Excellent writing, editing, presentation, and interpersonal skills.
  • Advanced proficiency with Google Workspace and ability to learn new platforms independently.
  • Demonstrated ability to manage projects autonomously, meet deadlines, and follow through with limited supervision.
  • Experience supporting executive leadership and preparing materials for senior staff and boards.
  • Comfort and experience communicating with donors.
  • Experience coordinating major donor events and cultivation activities.
  • Ability to attend monthly in‑office team meetings in Augusta, evening/weekend fundraising events, and travel occasionally throughout Maine, including rare overnight stays.

Compensation & Benefits

  • Salary: $65,000–$95,000 DOE (exempt, salaried).
